This notice explains what we do with your data in this customer portal. It covers the portal only — the privacy policy for your purchase itself is part of our Etsy shop policies.

What data we process, and where it comes from
When you place an order in our Etsy shop, we import that order into this portal: your order number, the items you bought, the options you chose, and any message you sent us. This data comes from Etsy, not from you directly.
To let you into the portal we send a one-time login link to your email address and set a session cookie named portal_session in your browser. This cookie is strictly necessary to keep you logged in and is not used for analytics or advertising.
You upload photos of your pet and any additional details needed to produce your artwork. We store these so that we can create, revise and deliver your order.
Why we are allowed to do this
We process this data to perform the contract you concluded with us (Art. 6(1)(b) GDPR). Without it we cannot produce or deliver your order. We do not ask for your consent because consent is not the legal basis here, and we do not use your data for advertising.
Who else sees your data
We use the following service providers, each bound by a data processing agreement:
- Brevo (Sendinblue GmbH) — sends the transactional emails such as your login link and status updates.
- Cloudflare R2 — stores your uploaded photos and finished artwork in a private, non-public bucket.
- Hetzner Online GmbH — hosts the portal and its data in Germany.
We do not sell your data and we do not pass it to anyone else except where we are legally required to.
How long we keep it
We keep your order data and uploaded photos for 26 months after your order is completed, covering the 24-month statutory warranty period plus a short buffer, so we can handle reorders, complaints and warranty claims. After that we delete them. Records we are required to keep for tax or commercial law are retained for the statutory periods.
Your rights
You can ask us for access to your data (Art. 15), correction (Art. 16), deletion (Art. 17), restriction of processing (Art. 18), a portable copy (Art. 20), and you can object to processing (Art. 21). Just write to the address below and we will take care of it.
